Ongoing maintenance that keeps your AI systems accurate, secure and running

Short answer

AI maintenance is the ongoing work of keeping AI agents and automations reliable after launch. It covers monitoring for failures, updating prompts and knowledge as your business changes, handling model and API changes, controlling costs and improving accuracy. FIT offers it as a monthly Care Plan, for systems we built or ones you already have.

What you get

  • Uptime and error monitoring with alerts, and fixes for anything that breaks.
  • A monthly accuracy review of AI conversations and outputs, with corrections to the knowledge base and prompts.
  • Updates when AI models, APIs or connected apps change (for example a model being retired or an app changing its API).
  • Cost monitoring, with a flag if usage spikes unexpectedly.
  • A set number of improvement hours each month for small changes and new automations.
  • A one-page monthly report covering what ran, what failed, what we fixed, what we improved and what to do next.

Examples

Model retirement

BeforeAn AI provider retires the model your chatbot uses. Without anyone watching, the bot starts failing or its answers change in quality.
AfterWe track provider announcements, test the replacement model against your test questions, and switch over before the deadline, with no surprise for you or your customers.

Quiet failures

BeforeAn automation stops working because someone changed a column name in a spreadsheet. Nobody notices for three weeks.
AfterMonitoring flags the failure within minutes, we fix it, and the monthly report notes what happened and how we've prevented it from happening again.

Knowledge drift

BeforeYour prices and policies change but the chatbot still quotes last quarter's numbers.
AfterChanges to your price list or policies trigger an update to the knowledge base, and the monthly review catches anything we missed.

Launching is the start, not the finish

The first version of any AI system is built on assumptions about what customers will ask and how data will look. Real usage proves some of those assumptions wrong within weeks. A Care Plan turns those lessons into improvements instead of slow decline.

What a Care Plan covers

  • Watching. Error alerts, uptime checks, cost tracking and a sample of AI conversations reviewed by a person each month.
  • Fixing. Broken integrations, failed workflows and wrong answers, prioritised by business impact.
  • Updating. Model migrations, API changes, new prices or policies, and seasonal changes.
  • Improving. A set number of hours each month for small enhancements or a new automation, so your system gets better over time.
  • Reporting. One clear page a month so you know exactly what you’re paying for.

Systems we didn’t build

Many businesses have a chatbot or a set of Zapier workflows that someone set up and nobody understands anymore. We’ll review it, document it, tell you what’s risky, and either maintain it or recommend a cleaner rebuild. You decide.

Typical tools

Monitoring & alerting · Log review · Prompt and knowledge base versioning · Test question sets · Cost dashboards

Typical timeline

Care Plans are monthly. Onboarding an existing system that we didn't build starts with a one-off review, typically 1–2 weeks.

Frequently asked questions

Why do AI systems need maintenance?

Three things change constantly. AI providers update and retire models, connected apps change their APIs, and your own business changes its prices, services and policies. Without maintenance, AI systems slowly become inaccurate or break without anyone noticing.

Can you maintain an AI system or automation someone else built?

Yes. We start with a one-off review of what exists, document it, fix urgent risks, and then move it onto a monthly Care Plan.

Is there a minimum contract?

Care Plans are month to month after an initial period, which we agree in your proposal so we have time to learn your systems. You can cancel with notice, and you keep everything we built.

What is included in a monthly report?

What ran, how many conversations or tasks were handled, failures and fixes, accuracy issues found and corrected, running costs, improvements made, and recommended next steps, all on one page in plain English.
